What this project was really about
This was not just a website project. The real problem was operational: too much of the practice depended on phone calls, paper notes, manual checks and information living in the wrong places. That made the business slower to run, harder to control and more exposed to avoidable financial loss. The solution was a single system that works as both the practice’s public-facing website and its internal operating layer.
The starting point
Before the system was built, the practice was dealing with a familiar mix of friction:
bookings handled heavily through calls and manual coordination
data spread across notebooks, paper journals and separate tools
no single source of truth for patient and visit information
too much time lost to admin handling and follow-up
weak visibility across bookings, records and operational activity
The main business problem
One of the biggest issues was refund leakage. In this kind of practice, patients can book treatments worth several hundred pounds without knowing whether they have medical contraindications. If those issues surface later, the practice is forced into cancellation, refund handling and lost margin — losing time and money on avoidable transactions.
What was built
Public website and booking system in one
The system is the practice’s website and the engine behind bookings. Patients view services, book appointments and move through the right process in one place.
Pre-payment health screening
A clinical screening step sits before payment. If answers raise a red flag, the booking does not proceed to payment — protecting both patient safety and business margin.
Centralised digital records
Notebooks and paper records were replaced with a controlled digital system: one place for patient history, notes, visit records and operational access.
Role-based staff access
Access is structured so each user only sees what they need, giving tighter control over sensitive information.
Digital check-in and consent
Self-service check-in and digital consent reduced repetitive front-desk admin.
Why this mattered
The project removed operational drag from a business carrying too much manual work, fragmentation and preventable loss. Compliance evidence is now generated as a by-product of the workflow rather than an afterthought. It shows what happens when a system is designed around the real workflow instead of forcing the business to adapt to disconnected tools.
